This policy explains how Absolute Cabinets Inc. ("Absolute Cabinets", "we", "us" or "our") collects, uses, shares and protects personal information, and how you can ask questions or exercise your privacy rights. It applies to personal information handled through our website, inquiries, client forms, project records, email, text messages, Jobber and our cabinetry and architectural millwork services. Personal information means information about an identifiable individual. We handle it in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA). Personal information we collect We collect information reasonably needed to respond to your inquiry, plan and complete your project, administer your account and provide aftercare. Depending on your interaction with us, this includes: Contact and billing details, such as your name, email address, telephone number, billing address, project address and preferred contact method. Project details, such as plans, drawings, measurements, specifications, selections, approvals and site access arrangements relevant to our work. Client and transaction records, such as quotes, agreements, invoices, payment confirmations, correspondence, service history and warranty records, including recordings, transcripts and summaries of communications handled through Jobber. Photographs and site notes used to assess conditions, coordinate work, document progress or address service requests. Website information, such as browser and device details, IP addresses and cookie information, as described below. We receive information directly from you when you contact us, submit a form, approve documents, make a payment or work with our team. We may also receive relevant information from a builder, designer or other person authorized to coordinate your project. How we use your information We use personal information to respond to inquiries, prepare quotes and shop drawings, confirm decisions, coordinate site visits, manufacture and install cabinetry and millwork, administer billing, and provide warranty service and aftercare. We also use relevant records to meet legal and accounting obligations and address project questions or disputes. We identify the purpose of collecting information at or before collection. If we want to use it for a materially different purpose, we explain that purpose and obtain any consent required by law. Consent and your choices The form of consent depends on the information involved, its sensitivity and the circumstances. For routine information needed to carry out work you request, consent may be implied where the purpose is clear and reasonable. We seek express consent where required, including for sensitive or unexpected uses. You can contact us to withdraw consent, subject to legal or contractual restrictions and reasonable notice. We will explain any resulting limits on the services we can provide. Permission for optional marketing or public use of project images is separate from the information needed to deliver your project. Jobber and payment services We use Jobber to manage client records, quotes, invoices, online request forms, Client Hub, payments, automated reminders and two-way messaging. Client details, communications and relevant project or transaction records are processed through Jobber for these functions. We remain responsible for personal information under our control. Information about Jobber’s handling of personal information is available in its Privacy Policy. Online payments through Jobber Payments are processed using Stripe. The payment service processes the information needed to complete the transaction. We use relevant billing, transaction and payment-status records to administer your account. Details of Stripe’s handling of personal information are available in its Privacy Policy. We use Jobber’s AI receptionist and AI assistance for inquiries, booking requests and client administration. These features can process messages and record, transcribe and summarize calls to help handle inquiries, booking requests and follow-up. When we share information We limit access and disclosure to information needed for the relevant purpose. This can include: Our team members who need information to perform their work. Builders, designers, trades, suppliers or delivery providers involved in your project, where sharing is authorized and needed for coordination or delivery. Service providers supporting client management, file storage, internal communications, website operations, accounting and payments, including Jobber, Google Drive, Slack, Wix and our accounting software. Professional advisers or other recipients where disclosure is necessary and permitted or required by law. We require service providers handling information on our behalf to protect it through contractual or other appropriate measures. Their privacy policies may provide additional details, but do not replace our responsibility for information under our control. We do not sell personal information. We do not share mobile numbers, text-message opt-in information or messaging consent with third parties or affiliates for their own marketing or promotional purposes. Information needed to deliver our messages may be processed by providers acting on our behalf. Email and text messages Where you agree to receive text messages, we use your mobile number and the information in your messages to communicate about your inquiry or project. Messages may include appointments, scheduling, project updates, quote or invoice notices, service follow-up and occasional promotions where authorized. Message frequency varies. Message and data rates may apply. You can stop text messages by replying STOP to a message sent through our Jobber messaging service. If you opt out of texts, please let us know how you would like us to communicate about an active project. We occasionally send promotional emails or texts with the consent or other authorization required by Canada’s anti-spam legislation. Promotional messages identify us and provide an unsubscribe method. We honour unsubscribe requests within the time required by law. You may decline promotional messages without affecting your cabinetry or millwork services. Our website and cookies Our website is hosted on Wix. Essential cookies support security and reliable website operation. Wix and the services described below may process technical information associated with your visit. We use Wix Analytics and Google Analytics to measure website activity and improve our website. Meta/Facebook Pixel supports advertising measurement and audience tools. Depending on settings, these tools can process browser and device details, online identifiers, pages viewed, referral sources and website interactions. Information is shared with these providers through their tools and may be processed under their own privacy policies. You can use browser settings and provider privacy or advertising controls to manage tracking; these may not prevent every type of tracking. Restricting cookies can affect website functions. Linked websites and social platforms have their own privacy practices. Project photographs and testimonials Project photographs used for planning, coordination, quality checks or aftercare are handled as project records. Where photographs contain personal information, we explain the purpose and obtain the consent required for collection and use. Permission for project documentation does not automatically authorize public promotional use. For public portfolio or marketing use, we request separate written permission before publishing photographs of a client’s home, client names or testimonials. Permission identifies the intended publication channels and any identifying details to be included. Giving promotional permission is optional and does not affect our cabinetry or millwork services. Contact Jasmine Hemsworth to change or withdraw promotional permission. We will explain any limits relating to material already distributed and stop further use where the withdrawal applies. How we protect and store information We use safeguards appropriate to the sensitivity of the information, including controls over access to client records. Access is limited to people who need the information for their work. We review our handling practices and address privacy incidents in accordance with applicable law. Service providers may store or process information outside Canada, including in the United States and other countries where they operate. Information processed abroad may be subject to the laws of that country and lawful access by its authorities. We remain accountable for information transferred to providers for processing on our behalf. How long we keep information We retain personal information only as long as needed for the purposes described in this policy, including completing the project, providing warranty service and aftercare, meeting legal or accounting requirements and resolving disputes. When information is no longer needed, we securely delete, destroy or anonymize it, taking account of applicable retention requirements. You can ask us to delete information. We will assess the request against the purposes for which it is held and any applicable legal or contractual requirements, and explain any information we must retain. Access correction and privacy concerns You can ask what personal information we hold about you, how it has been used and shared, and request access to it. You can also ask us to correct information that is inaccurate or incomplete, withdraw consent where applicable, or raise a privacy concern. Send written requests to the privacy contact below. We may need to verify your identity before releasing or changing records. We respond to written access requests within 30 calendar days, unless a lawful extension applies. If an extension or a permitted limit on access is necessary, we explain the reason and your options as required by law. Access is provided at little or no cost.
